Short answers by role. Send questions about an event to the organization running it.

Organizer

How do I open my organization?

Create your account and organization with "Open your organization". It opens at its own address after platform approval, usually within 1 business day. While you wait you can prepare your event, but you cannot publish it.

Where is the data hosted?

The database and files are kept on Cloudflare infrastructure in the European Union region; emails go out through Resend. Hosting in Türkiye is not available today. Details are on the Security and KVKK page.

How do I invite a mentor?

Invite them by email from the Mentors screen in event management. Mentors write their own profile and office hours; teams book them from the Mentors tab on the event page.

How do I set up an event from a template?

On the Events screen choose "New event" and pick a template. The schedule, criteria, rules and emails are copied; you can change all of them later.

How many people will a bulk email reach?

When you choose recipients on the Communication screen, the count appears right away. The list is recalculated at send time; a sent email cannot be changed.

Why does an export with personal data need a reason?

For KVKK accountability: who took it, when and why is written to the audit log. The reason must be at least 10 characters.

Jury

How do I lock my score?

After scoring every criterion, choose "Lock score". Once locked you cannot change it; a correction needs a reasoned unlock request.

What if I have a conflict of interest?

On the project screen choose "Declare a conflict of interest". You withdraw from the evaluation and your declaration goes on record.

Why can't I see the team name?

The stage is set to blind evaluation. The team name, members and personal fields are never sent to you; you score by project code.

Participant

Can I change my submission after the deadline?

No. Submissions lock at the deadline and the jury sees the version from the moment of locking.

Can I appeal a result?

An appeal window opens after preliminary results. The team lead files a reasoned appeal from the participant dashboard.

Where is my entry pass?

For on-site events, an "Entry card" tab appears once your registration is accepted. At the door, just tell the volunteer the 6-character short code on your card.

How do I book a mentor?

If you are in a team, the Mentors tab on the event page shows mentors' open office hours; pick a slot and write your topic. You can cancel the booking; the mentor writes the meeting note and your team sees it.

Volunteer

How does check-in work?

On the volunteer screen, type the participant's name or short code and tap "Check in" on the row. The row also shows team and table. If the same person comes again, the time of the first entry is shown and no second record is created.

What if the internet goes down?

When the connection drops, search results are hidden and buttons are locked so a stale result cannot mark the wrong person. Open the "Paper list" on the check-in screen in advance and print it or keep it on screen, and mark arrivals. When the network is back, the event team enters the codes with bulk check-in.

Mentors and sponsors

My invitation link doesn't work.

The link is valid for 14 days and can only be accepted with the invited email address. If it has expired, ask the event team for a new one.

What do I see as a mentor?

On the mentor screen you write your profile and expertise and open office hours. You see only the name, member names and topic of teams that book you; registration answers and emails are not shown. After the meeting you can write a short note; the team sees it too.
